Move someone to a different session

A player turns up for the wrong session. Move them in two clicks, and what they already paid moves with them.

The problem this solves

Someone books Tuesday and shows up Wednesday, or wants the later open play instead. Until now the only way to fix that was to cancel their registration and create a new one by hand: work out the refund yourself, take the money again, and hope the two ended up matching. It was slow at a busy desk, easy to get wrong, and it is how money quietly went missing.

How it works

  • Every registration now has a Move button, on the court calendar and on the event page.
  • Click it and you get a picker of the sessions that player can actually go to, defaulting to the same kind of session in the next 24 hours. Widen the dates or change the type whenever you need to.
  • Every session in that list is one the move will accept, so nothing you can click gets refused afterwards, and each row tells you upfront whether there is anything left to collect.
  • Confirm, and they are seated on the new session. What they already paid travels with them as club credit and is spent on the new seat straight away.
  • If the new session costs more, the difference shows as a balance owed, which you take at the desk like any other. The amount on the picker, the amount on the confirm, and the amount they owe are the same number.
  • They get one email saying they have been moved, naming both sessions, rather than a cancellation followed by a registration that together read like something went wrong.

What it refuses to guess

A move touches money, so it stops rather than assuming whenever the right answer is not obvious. It will not move a registration that still owes money, one that has already been part-refunded, or one paid at the desk in cash. It will not move a seat that belongs to a multi-week series, a league, or a tournament team, because those are entries rather than session seats. It will not move anyone into a session that has been cancelled. And it will not move someone to a session that costs less than they paid: returning the difference is deliberately its own piece of work rather than something bolted on here. In every case it tells you why, so you know what to do next.

The details that matter at a desk

A full session is still offered, marked Full, so you can put someone in over capacity when you mean to, and it records who did. A player on the waitlist shows the button disabled with the reason, because they hold no seat to move yet. And the roster you are looking at repaints on the session they moved to, so you are already where the balance is.

Getting it

It is a club setting you turn on when you are ready, and it changes nothing until you do. Available on every plan that runs events.
