See how every event is set up, side by side

Confirming that twenty programs were all set up the way you intended meant opening twenty programs and holding the differences in your head. The question is simple and the answer was expensive.

One row each, with the setup in columns

The Setup Report lists every program that is still running, plus your upcoming one-off events, with their configuration next to each other: dates and times, courts, capacity, coaches, pricing, waitlist, required forms, skill and age limits, description, image, and who can see it.

It is built for one job: scanning a single column and finding the row that is different. If your Monday and Tuesday clinics are $30 and the Wednesday one is $25, that stands out here.

  • Reachable from Programs, or by pressing Command K and typing "setup report" or "compare events".
  • The program name and type stay on screen as you scroll right through twenty columns, so a cell is always attributable to a program.
  • The column headings stay on screen as you scroll down.

"Some of them" is the cell that matters, so it is the loudest

A column can say four different things, and the difference between two of them is the whole point:

  • A value. Every session in that program agrees. $30.00, or Courts 1 to 4.
  • Highlighted, "2 of 8". Some sessions have it and some do not. Usually a session that got missed, and the reason to look here first.
  • Quiet, "Varies". Every session has a value and they differ. Often completely normal: a clinic that moves courts week to week, or a rotating instructor.
  • "No sessions yet." The program has not produced anything to compare.

A program where two of eight sessions have a coach and one whose instructor changes every week would look identical if both just said "Varies". The first is a setup error and the second is how your club runs, so they are painted differently.

A program producing nothing is invisible everywhere else

If a program has stopped generating sessions, it will not appear on your calendar, in your lists, or anywhere a member can book, which is exactly why nobody notices. It appears here, with the dates it was supposed to run listed out, so you can see what it should have produced.

The percentage under each heading

"12% set" means twelve percent of the rows have that field filled in. It is there so a column that is empty the whole way down is obvious at a glance. A Forms column reading 0% set means nothing in your program currently requires a waiver, which may be right or may be a surprise.

Export to a spreadsheet

Export CSV gives you the same rows and the same columns in the same order. Sorting a column in a spreadsheet is the fastest way to group the odd ones together, so for a long list that is usually the quicker route. Finished programs are hidden by default and one click away, which is what you want when you are about to copy one.

What it does not do

  • It reports what is set, not what is correct. It cannot know you meant 7pm instead of 6pm.
  • The price shown is the posted price, which is what a guest would pay. Members with a membership discount may be charged less than the number here.
  • It covers programs and events. Leagues, tournaments and camps have their own screens.

Nothing to set up. Any staffer who can already see your events can open it.
